What does FileFlo do?+
For a carrier, FileFlo reads your FMCSA record every day, builds and checks each driver's file against the rule, keeps your filings and deadlines in view and keeps the audit packet ready. Every answer shows the record and the rule behind it. You approve what goes out, and the decisions stay with you.
What does it cost?+
One plan, by fleet size. At 8 to 25 trucks, FileFlo takes the work off your plate as the FileFlo Compliance Department: $900 a month for months 1 to 3 at 8 to 12 trucks if you start by Dec 31, then $1,500 a month; $1,500 a month from the first month at 13 to 15 trucks; $2,400 a month at 16 to 25 trucks. Setup included. Above 25 trucks it is by written quote. Under 8 trucks, or to run it yourself, the Setup is $499 and includes 30 days of Core. Office from day one: your insurance filing status, the carrier packet brokers ask for, and one-tap answers to broker requests. It stays when Core continues. After your 30 included days, Core continues at $199 a month (Fleet, $399, for 16 to 50 trucks) on the same card unless you cancel. We email you 7 days and 1 day before the first charge, and one click in either email cancels it. Core is for 1 to 15 trucks, Fleet for 16 to 50.
What do you need from me?+
Your USDOT number, the name of at least one driver and one usable record; then the records you hold, as phone photos, scans, a ZIP, or through each driver's phone link.
Who checks the work?+
The rule does, then the FileFlo compliance team, then you. A record that fails is held, with the rule and the fix named, and it never counts as on file. The person who reviews a driver's annual review signs the note, and a driver cannot review their own record. Every record keeps a dated history that cannot be edited.
Does FileFlo contact my drivers?+
Only when you say so. You switch each routine on and choose who hears, how and when, or choose to review every message first. Once a routine is on, FileFlo asks the driver and the office for each renewal at 45, 14 and 3 days before the due date and 1 day after, with an upload link that closes the item; drivers who text YES get it by SMS, everyone else by email, and STOP means stop. Your list of what is due, updated every hour, shows who owes each item.
Can I email records in?+
Yes. Your company has its own inbox address; email a record to it and it is filed against the rule.
What happens when it reads something wrong?+
The record is held for review, and one open item names the failed rule and the fix. A held or unreadable record never closes an obligation.
What happens to my data?+
A signed-in user sees only their own company's records and files. Personal data stays out of logs and error text. More on the security page.
