FileFlo Compliance Department

FileFlo builds your files at the start, with no separate Setup fee.

  • 8 to 12 trucks: $900 a month for 3 months, then $1,500.
  • 13 to 15 trucks: $1,500 a month. Start by Dec 31 and it stays $1,500. From Jan 1 it's $1,950.
  • 16 to 25 trucks: $2,400 a month. Start by Dec 31 and it stays $2,400. From Jan 1 it's $2,950.
  • 26 to 50 trucks: $3,500 a month by written quote, first month free if you start by Dec 31.
  • 51 to 100 trucks: $5,000 a month by written quote, first month free if you start by Dec 31.

What comes off your plate:

  • Every driver file built, then kept complete as records come in.
  • FileFlo texts and emails your drivers directly about medical cards and CDLs, before they run out.
  • MVRs and drug and alcohol tests asked for from your own providers, and chased until the record is on file.
  • Annual Clearinghouse queries run for you once you name FileFlo in the Clearinghouse.

The whole list, and what stays yours

Start your compliance department

If an auditor finds a required record missing from a driver file FileFlo shows complete, FileFlo refunds your last 12 months.

First month back: if you are not happy after your first month, FileFlo refunds that month.

26 to 50 trucks, $3,500 a month; 51 to 100 trucks, $5,000 a month, by written quote.

New departments start on a fixed schedule and start dates are limited, so each one is built to the same procedure: about 10 hours of onboarding work. Starts are on Mondays.

Four ways to get the work done

One flat price. Measured against your insurance line.

At 10 trucks, insurance runs about $94,590 a year at the national average. Insurers and brokers read your inspection record. A failed audit or a Conditional rating is on that record when your policy renews, and the insurance line is where it costs you. FileFlo's first year with Core is $2,688, 2.8% of that line. The FileFlo Compliance Department is $18,000 a year at $1,500 a month, 19% of it, and its team does the work.

Other ways to buy parts of the work: done-for-you driver file services at $49 per driver a month ($490 a month at 10 drivers), consultants at $3,000 to $10,000 a year, and managed safety programs from $199 a month. FileFlo's department is one price for the fleet, never per driver, and FileFlo does the work itself: the files, the renewals and the auditor's requests. Annual billing on the department saves $3,000.

Audit-Ready Setup

$499one time

A gap report built from your USDOT number, each driver's file assembled from the records you send and checked against the rule, and an audit packet organized to the regulations. $499 today. After your 30 included days, Core continues at $199 a month (Fleet, $399, for 16 to 50 trucks) on the same card unless you cancel. We email you 7 days and 1 day before the first charge, and one click in either email cancels it.

30 days, every dollar back: if you are not happy with the Setup within 30 days of purchase, FileFlo refunds the full Setup price.

2026 price: $499 through Dec 31, then $749. Start by Dec 31 and keep today's price for as long as you stay subscribed.

What you get

  • The gap report: each missing record, the rule that requires it and who owes it, new-entrant automatic-failure items first, and the areas that do not apply marked with the reason.
  • Each driver's file in the order the federal rule lists it (49 CFR 391.51), every requirement cited, marked on file or not, with every missing item listed.
  • Anything that fails a rule held, with one open item naming the failed rule and the fix; a held record never counts as on file.
  • A sealed audit packet indexed to the regulations, with a 30-day inspector link; an inspector copy without your gap notes and an insurer copy without personal details; and a public page where anyone holding the packet confirms it is the copy you issued.
  • Thirty days of Core: a list of everything due within 45 days, updated every hour, warnings in the app, the packet on demand, and the requests to your drivers and your office once you switch them on.
  • Office from day one: your insurance filing status, the carrier packet brokers ask for, and one-tap answers to broker requests. It stays when Core continues.

Core and Fleet, by fleet size

The Setup includes your first 30 days of Core. After that, the tier sized to your fleet continues on the card you paid with, unless you cancel: Core to 15 trucks, Fleet 16 to 50. We email you 7 days and 1 day before the first charge, and one click in either email cancels it. One price for the fleet.

Core · 1 to 15 trucks

$199a month

What Core keeps current:

  • Reads your FMCSA record from your USDOT number every day, and opens an open item if your authority goes inactive or your insurance filing drops, closing it when the record is restored.
  • Files every document you send against the 49 CFR section it satisfies: phone photos, scans, a ZIP, each driver's own phone link, or your cloud folder imported with a click and checked on a schedule after that. Records emailed to your company's own inbox address are filed against the rule.
  • Keeps each driver's qualification file in the order the federal rule lists it (49 CFR 391.51), with every requirement cited: the medical card and its National Registry note, the CDL and its class, the annual review in its two parts (the driving record and a review note the reviewer signs in the app), the annual Clearinghouse query date, the road test or its CDL equivalent, and the prior-employer investigation due 30 days after a hire.
  • Builds new hires' files from your driver list (CSV) or a per-hire intake form, and drafts the 391.23 request to each prior employer for you to send, with the good-faith effort recorded.
  • Holds any record that fails a rule, with one open item naming the rule and the fix; a held record never counts as on file.
  • Shows you, every hour, everything missing or due within 45 days, and warns the person who uploaded a document at 90, 60, 30 and 7 days before it expires.
  • Asks drivers and the office for renewals at 45, 14 and 3 days before the due date and 1 day after, with an upload link that closes the item; requests missing records the day they are found and again at 7, 14 and 30 days; and tells the owner every week while anything stays open. Reminds the office each quarter that random testing is due.
  • Office: your FMCSA insurance filing status and the policies on file with their expiry dates, the carrier packet brokers ask for as a time-limited link that shows when it was opened, and broker and shipper document requests that arrive by email, drafted for you to approve with one tap.
  • Tracks UCR, 2290, IFTA and IRP and closes each when you confirm you filed.
  • Keeps the accident register under 390.15 with the post-accident testing decision under 382.303 recorded for each event.
  • A gap list that names what is missing, the rule that requires it and who owes it.
  • Maintenance records, DVIRs and roadside inspection reports filed against the truck, and your inspection history read from the FMCSA record with its source and date.
  • Gives each truck its cited obligations, the 396.17 annual inspection, the 396.3 records, registration and the IRP cab card, each with an upload link and a due date, tracks your insurance filing for the carrier, and opens the 15-day repair certification after a roadside inspection with violations.
  • The audit packet on demand, indexed to the regulations, with a sealed inspector link you can revoke, an inspector copy and an insurer copy, drug and alcohol records as a count, and a public page that confirms a packet is the copy you issued.
  • Drivers who leave drop off the watched list. Drivers and trucks grouped by terminal. Records are kept for the retention period after a driver leaves, and FileFlo tells you when they can go.
  • Adds your company's own rules on top of the regulation, such as a shorter interval or a requirement the regulation does not have; a company rule never exempts anyone from a regulatory requirement.
  • Roles for the owner, an admin, a compliance manager, a safety manager and a read-only auditor, with invites by email. No document or user cap.
  • Support from FileFlo by email; every piece of human work FileFlo owes you is a tracked, dated obligation you can see. A monthly compliance summary by email.

How Core works with your providers: You or your providers query the Clearinghouse, order MVRs, run your drug and alcohol program, file with FMCSA and represent you at an audit. Core tracks each one and files the result you send.

What you switch on

Nothing goes out to your drivers until you switch each routine on and choose who hears, how and when, or choose to review every message first. Your list of what is due, updated every hour, shows who owes each item, so your office knows who to ask. Switch a routine on and the first request is drafted on the next hourly run; only the people you allow can approve it, and each approval is bound to the exact message and the evidence behind it, so a send is cancelled if the evidence changes. Once on, FileFlo asks the driver and the office for each renewal at 45, 14 and 3 days before the due date and 1 day after, with an upload link that closes the item, requests missing records the day they are found and again at 7, 14 and 30 days, and tells the owner every week while anything stays open. Drivers who text YES get messages by SMS; everyone else is emailed, and STOP means stop on every send path. After you buy, FileFlo reminds you at day 0, 2 and 7 to switch your routines on. A monthly compliance summary by email.

The inspector packet

The packet on demand, indexed to the regulations; a sealed inspector link to a copy fixed when you issue it, with an expiry, a cap on how often it opens, a way to revoke it and a log of every access; an inspector copy without your notes and an insurer copy without personal details; and a public page where anyone holding the packet confirms it is the copy you issued.

Frequently asked

Pricing questions

I already have a guy for this. Why FileFlo?

Keep him. FileFlo is the file he works from: every driver's file built to the rule, every date in front of both of you, and the audit packet on demand. The packet he hands an auditor is the same one you can pull yourself.

Can we talk it through before I buy?

FileFlo works in writing, so every answer is in one place you can read again and forward. Write to support@getfileflo.com and the compliance team answers. Your free finding sheet shows what we read from your own record before you pay anything.

Who is FileFlo?

A private company. We're not FMCSA or DOT, and no agency referred you here. FileFlo never asks for your FMCSA PIN, never files in your name without your approval, and never sends your drivers anything until you switch it on. See the work before you buy: a sample audit packet, and how FileFlo handles your data, are linked beside every price.

Prove it before I pay.

Run the free finding sheet on your USDOT number: it reads your own inspections and says what they mean for your audit. Then the Setup carries its refund in writing: 30 days, every dollar back: if you are not happy with the Setup within 30 days of purchase, FileFlo refunds the full Setup price.

We are too small for this.

Core is one price for 1 to 15 trucks, $199 a month: $40 a truck at 5 trucks, $6.54 a day. An auditor asks a 3-truck carrier for the same driver files as a 15-truck one.

How long does the 2026 price last?

Start by Dec 31 and keep today's price for as long as you stay subscribed. If you cancel and come back after December 31, you pay the price of the day.

What is 2026 pricing for the Compliance Department?

At 8 to 12 trucks, a start by December 31, 2026 on the monthly plan gets 40% off the first 3 months: $900 a month instead of $1,500, applied automatically at checkout. From month 4 the regular monthly price applies. On a written quote at 26 to 100 trucks, a start by December 31, 2026 gets the first month free, written into the quote, then $3,500 a month at 26 to 50 trucks and $5,000 a month at 51 to 100 trucks. At 13 to 25 trucks the department is billed at list from the first month: $1,500 a month at 13 to 15 trucks and $2,400 a month at 16 to 25.

Does 2026 pricing change the price lock or the guarantee?

No. Start by December 31, 2026 and you keep today's list price for as long as your plan stays active, and the first month back guarantee is the same. The 2026 discount comes on top of both. Where the first month is free (aviation, and written quotes at 26 to 100 trucks), there is nothing to refund: if FileFlo does not deliver in month 1, cancel before month 2 and you never pay.

Does 2026 pricing apply to the annual plan?

No. The annual plan is already the lowest first-year cost: $15,000 a year for up to 15 trucks, and $24,000 for 16 to 25.

What happens at 90 days?

We review results with you: what was built and filed, what was fixed, and what is due next.

What does trucking cost?

At 8 to 25 trucks, the FileFlo Compliance Department: $900 a month for months 1 to 3 at 8 to 12 trucks if you start by Dec 31, then $1,500 a month; $1,500 a month from the first month at 13 to 15 trucks; $2,400 a month at 16 to 25 trucks. Setup included. Under 8 trucks, or to run it yourself, the Audit-Ready Setup is $499 and includes your first 30 days of Core. After your 30 included days, Core continues at $199 a month (Fleet, $399, for 16 to 50 trucks) on the same card unless you cancel. We email you 7 days and 1 day before the first charge, and one click in either email cancels it. Core is $199 a month for 1 to 15 trucks and Fleet is $399 a month for 16 to 50; annual billing is optional, $1,990 or $3,990 a year. 51 or more trucks: talk to us. Per-hire driver file build and post-audit corrective are priced separately; ask us.

What does the Audit-Ready Setup include?

The gap report built from your USDOT number: each missing record, the rule that requires it and who owes it, new-entrant automatic-failure items first, and the areas that do not apply marked with the reason. Each driver's file in the order the federal rule lists it (49 CFR 391.51), with every requirement cited and every missing item listed; anything that fails a rule held with an open item naming the fix, and never credited. A sealed audit packet indexed to the regulations, with a 30-day inspector link, an inspector copy and an insurer copy, and a public page where anyone holding the packet confirms it is the copy you issued. Thirty days of Core: a list of everything due within 45 days, updated every hour, warnings in the app, the packet on demand, and the requests to your drivers and your office once you switch them on. Office from day one: your insurance filing status, the carrier packet brokers ask for, and one-tap answers to broker requests. It stays when Core continues.

How does FileFlo work with my providers?

The drug and alcohol consortium, MVR orders, Clearinghouse queries, FMCSA filings and representation at the audit stay with you and your providers. FileFlo tracks each one and files the result you send. Bring your consultant.

How does the guarantee work?

30 days, every dollar back: if you are not happy with the Setup within 30 days of purchase, FileFlo refunds the full Setup price. The 30 days start the day you pay, and you do not have to give a reason. Core and Fleet carry their own guarantee, printed beside them on this page.

Can I cancel? What renews?

Monthly plans are month to month; cancel from Settings; annual plans renew as the Terms state.

Does Core contact my drivers?

Only when you say so. You switch each routine on and choose who hears, how and when, or choose to review every message first. Once a routine is on, FileFlo asks the driver and the office for each renewal at 45, 14 and 3 days before the due date and 1 day after, with an upload link that closes the item; drivers who text YES get it by SMS, everyone else by email, and STOP means stop. Your list of what is due, updated every hour, shows who owes each item.

How does FileFlo work with my ELD?

Alongside it. Your ELD stays yours. The FileFlo Compliance Department reviews your logs once your ELD is connected. On Setup, Core and Fleet, log review stays with you and the packet says so, and FileFlo files and tracks your drug and alcohol program records.

Can FileFlo do the work for me?

The Setup is built for you: FileFlo files the records and the FileFlo compliance team works through the exceptions, each as a tracked, dated obligation you can see. You approve what goes out, and the decisions stay with you. Per-hire and corrective work is priced separately; ask us. To have FileFlo take it off your plate, the FileFlo Compliance Department: $900 a month for months 1 to 3 at 8 to 12 trucks if you start by Dec 31, then $1,500 a month; $1,500 a month from the first month at 13 to 15 trucks; $2,400 a month at 16 to 25 trucks.
