A DOT Compliance Service That Takes the Files and the Chasing Off Your Desk

Reviewed

Direct answer

FileFlo is a DOT compliance service for a small trucking company: it builds and keeps every driver file, chases renewals, asks your own providers for MVRs and drug and alcohol tests, runs Clearinghouse queries once you name FileFlo, and keeps the audit file ready. Log review, policies, supervisor training and driver coaching stay with you. The FileFlo Compliance Department is $1,500 a month for up to 15 trucks, Setup included, against $89,948 a year in pay for a DOT compliance manager (ZipRecruiter, August 2025).

Hand FileFlo the driver files, the renewals and the chasing. Your USDOT number is all the checkout needs.

  • 8 to 12 trucks: $900 a month for 3 months, then $1,500.

Applied automatically at checkout on the monthly plan for 8 to 12 trucks, and the free first month is written into the quote at 26 to 100 trucks. Your price lock and first month back guarantee are unchanged; on a free first month there is nothing to refund: if FileFlo does not deliver in month 1, cancel before month 2 and you never pay. Launch pricing ends December 31, 2026.

What it means for your business

Your authority
Your filings and your insurance on record stay watched, so your authority stays active and your trucks keep moving.
Your audit
When the auditor writes, the answer comes from a packet that is already built, in the order the rules list it.
Your insurance
Clean files and a current record are what an underwriter reads at renewal. Certificates of insurance go to brokers without a scramble.
Your brokers
Broker packets go out from one sealed link, current on the day the broker opens it.

What FileFlo does about it, today

  • In the FileFlo Compliance Department, FileFlo's compliance team does this work for you: builds and keeps every driver file, chases every renewal, keeps the audit packet ready and answers the auditor's document requests.
  • Every driver gets a qualification file in the order 391.51 lists it. Medical cards and CDLs are read, dated to their expiry and filed against the rule.
  • FileFlo asks the driver and the office for each renewal at 45, 14 and 3 days before it is due, with an upload link, and requests missing records the day they are found.
  • Your drug and alcohol program documents and every driver's annual Clearinghouse query are tracked and filed, and those records never leave in a share link.
  • In the FileFlo Compliance Department, FileFlo prepares your UCR registration and your quarterly IFTA return from your records, and you authorize each filing.
  • The audit packet stays ready: every requirement with its citation, and a sealed inspector link with an expiry and a log of every access.
  • The Broker-Ready Share Link: one click makes a sealed link a broker or insurer opens without a login.
  • Connect your Motive ELD once and FileFlo reads your daily logs, hours-of-service violations and DVIRs every day, and flags a missing, uncertified or unexplained log before an inspector finds it.

FileFlo is your compliance department, so you never deal with the compliance headaches again. Buy it two ways.

What the department does

  1. Every driver file built, then kept complete as records come in.
  2. FileFlo texts and emails your drivers directly about medical cards and CDLs, before they run out.
  3. MVRs and drug and alcohol tests asked for from your own providers, and chased until the record is on file.
  4. Annual Clearinghouse queries run for you once you name FileFlo in the Clearinghouse.
  5. Past-employer requests and insurance certificates asked for and filed.
  6. Vehicle files kept, with annual inspections chased from your shop.
  7. New hires, accidents, roadside inspections and positive tests tracked step by step, with the clocks and reminders sent to you.
  8. Your audit packet kept ready, and the auditor's document requests answered from it.
  9. A compliance report in your inbox every month.

Against the cost of a hire

A DOT compliance manager averages $89,948 a year in pay (ZipRecruiter, August 2025), and the BLS median is $90,150 (May 2025). The FileFlo Compliance Department is $18,000 a year at $1,500 a month, or $15,000 on annual.

A hire is one person: out sick the week the auditor writes, and gone when a better offer comes. The department is a team with the software behind it, and it does not leave.

Want to run it yourself instead? The Audit-Ready Setup is $499, then, unless you cancel, Core at $199 a month. See what a DOT compliance service costs.

Questions

What does a DOT compliance service do?

It does much of the paperwork a safety manager would: builds and keeps driver qualification files, tracks medical cards, CDLs, MVRs, Clearinghouse queries and drug and alcohol testing, chases renewals, keeps the audit file ready and answers the auditor. The FileFlo Compliance Department does all of it for $1,500 a month for up to 15 trucks, with the Audit-Ready Setup included.

Is there a DOT compliance service near me?

FileFlo works remotely in every state. Your drivers send their documents from a phone link, your office forwards what it has, and FileFlo files each one against the rule. Nobody has to come to your yard.

How is this different from hiring a safety manager?

A DOT compliance manager averages $89,948 a year in pay (ZipRecruiter, August 2025). The FileFlo Compliance Department is $18,000 a year at the monthly price, or $15,000 paid annually, and it does not take vacation or quit before the audit.

Do I sign a long contract?

No. Monthly is month to month. Annual is paid once for the year, with two months free.

What do I still do?

Three things: send driver names and the records they have, switch on driver reminders once, and authorize government filings. Filing fees are billed at cost. The rest is FileFlo's job.

I already have a consultant. Why switch?

Keep him if he works for you. FileFlo builds the file he works from. If you are paying by the hour or by the driver, compare it with one monthly price that covers up to 15 trucks.

What is introductory launch pricing for the Compliance Department?

At 8 to 12 trucks, a start by December 31, 2026 on the monthly plan gets 40% off the first 3 months: $900 a month instead of $1,500, applied automatically at checkout. From month 4 the regular monthly price applies. On a written quote at 26 to 100 trucks, a start by December 31, 2026 gets the first month free, written into the quote, then $3,500 a month at 26 to 50 trucks and $5,000 a month at 51 to 100 trucks. At 13 to 25 trucks the department is billed at list from the first month: $1,500 a month at 13 to 15 trucks and $2,400 a month at 16 to 25.

Does launch pricing change the price lock or the guarantee?

No. Start by December 31, 2026 and you keep today's list price for as long as your plan stays active, and the first month back guarantee is the same. The launch discount comes on top of both. Where the first month is free (aviation, and written quotes at 26 to 100 trucks), there is nothing to refund: if FileFlo does not deliver in month 1, cancel before month 2 and you never pay.

Does launch pricing apply to the annual plan?

No. The annual plan is already the lowest first-year cost: $15,000 a year for up to 15 trucks, and $24,000 for 16 to 25.

What happens at 90 days?

We review results with you: what was built and filed, what was fixed, and what is due next. Your point of contact runs the review.
