VOCUS SMS, by Polaris Aero, is an aviation Safety Management System application that implements the four SMS components defined in 14 CFR Part 5 (safety policy, safety risk management, safety assurance, and safety promotion) through hazard reporting, risk analysis, internal audits, and safety-performance dashboards. It is the system of record for an operator's safety program. FileFlo is not an SMS. It is a compliance document intelligence layer that connects read-only to the cloud storage an organization already uses (Google Drive, SharePoint, OneDrive, or Dropbox) and classifies each file against its governing regulation (FAA 14 CFR Part 135, FMCSA 49 CFR, OSHA 29 CFR, CMS 42 CFR, EPA 40 CFR, and state programs).

The two solve different problems and are commonly used together. VOCUS answers "how do we identify, assess, and mitigate safety risk, and prove our safety program is functioning?" Regulatory context

The 2027 SMS mandate is the process. The records are still on you.

The FAA's 2024 Safety Management System final rule extends SMS requirements to all 14 CFR Part 135 operators, with a compliance deadline of May 28, 2027.
